As Executive Assistant to the General Counsel, you’ll gain valuable exposure to the inner workings of a regulated financial institution, support stakeholder engagement at the highest levels, and collaborate closely with internal teams and external partners to drive strategic initiatives forward.

Objectives

The Executive Assistant is responsible for ensuring the General Counsel and Legal Leadership Team can operate at maximum effectiveness by managing time, communication, and priorities, while also contributing to the coordination of governance, legal, and strategic projects. This role requires strong judgement, attention to detail, and the ability to navigate confidential and sensitive matters with integrity. You will work closely with the CEO Office, General Counsel, Legal Team, and Corporate Law to facilitate efficient operations, ensure alignment on key initiatives, and enable effective collaboration across the business.

In this role, you will:

  • Coordinate national and international travel arrangements, including itineraries, visa requirements, hotel bookings, and logistical briefings for off-sites, Board meetings, and regulatory engagements.
  • Ensure meeting agendas, briefing documents, and talking points are prepared in advance of key internal and external meetings, including those with law firms, regulators, and Board members.
  • Draft, review, and finalise legal correspondence, internal memos, and presentations in close coordination with the General Counsel.
  • Proactively resolve day-to-day administrative or operational issues, acting independently and escalating only when necessary.
  • Handle general administrative tasks such as expense reports, internal approvals, post management, and procurement requests.
  • Track and follow up on legal and regulatory action items and deadlines, ensuring deliverables are met and stakeholders are informed.
  • Support or manage logistics for Legal Team offsites, leadership workshops, and all-hands meetings.
  • Act as a key partner to the Legal Leadership Team, maintaining an effective rhythm of meetings, updates, and documentation.
  • Support internal Legal projects such as policy reviews, legal operations improvements, and risk mitigation efforts.

  • Coordinate logistics, prepare formal invitations, and manage documentation and follow-ups for General Meetings and Board sessions.
  • Support the planning and execution of General Meetings of Shareholders, including vote tracking, PoA management, and shareholder communications.
  • Maintain and update investor and stakeholder contact lists in collaboration with the Corporate Law team.
  • Assist with preparing, proofreading, and coordinating formal legal correspondence, including shareholder resolutions, corporate structure changes, and regulatory filings.
  • Collaborate with the Corporate Law team on document flows, filings, and coordination with external counsel and notaries.

CEO Office & Company-wide Collaboration

  • Support wider CEO Office initiatives including branding, process optimisation, leadership events, and offsites.
  • Collaborate with the broader EA team to drive efficiency, alignment, and coverage during absences.
  • Build and maintain strong relationships across the Legal function, CEO Office, Executive Leadership Team, and external stakeholders such as law firms, notaries, and regulators.
