Executive Assistant to the Chief People Officer (fluent German required)

About the opportunity

We have an exciting opportunity to join the N26 CEO Office as Executive Assistant to our Chief People Officer (CPeO). At N26, our team of Executive Assistants provides high-level management support, clerical and business assistance, plus direction and guidance to support in the achievement of strategic priorities and business goals and objectives. This opportunity will allow you to see what the daily life of a C-Level executive is like, how N26 is managed, and how our Executive Leadership Team (ELT) works together.

Objectives

  • The Executive Assistant is responsible for providing sophisticated administrative and operational support while contributing to projects that help drive business priorities and strengthen team collaboration in a way that facilitates the executive and teams being their most productive and effective.
  • Working in partnership with the executive, the Executive Assistant is also responsible for helping to manage team morale and plays a key role in enabling the executive to maintain an optimal mindset, energy, and focus, to maximize productivity and promote cross functional engagement, as well as managing expectations for the executive and their team of direct reports.

In this role, you will:

  • Assist in managing the executive’s competing time, focus, and priorities in line with strategic objectives and short-term goals, assessing any shift in priorities as appropriate through the following:
    • Manage complex calendars, across multiple time zones including vetting, prioritizing, and providing recommendations on meeting cadence, time spent, and optimizing scheduling on an ongoing basis.
    • Act as a gatekeeper for the CPeO by reviewing incoming requests and assessing the purpose, objective, and desired outcomes of requests. 
    • Screen and review communications to and from the CPeO, acting as a filter to prioritize and disseminate communications based on their relevance to business priorities, by handling, reassigning or prioritizing these for the executive in line with identified and understood priorities and areas of responsibility with the team and business. 
    • Ensure the CPeO can focus on the highest-impact priorities by proactively solving or managing day-to-day office management issues, team concerns, and routine interruptions. The Executive Assistant will use sound judgment to independently handle enquiries whenever possible, involving the CPeO only when necessary.
  • Draft communications, documents, and presentations with instruction from the CPeO, with the eventual aim of proactively managing the CPeO’s emails in accordance with priorities and expectations.
  • Manage and oversee projects as directed, including the development of plans for such projects. This includes following up and providing reminders on project deadlines, action items, and deliverables. 
  • Contribute to strategic planning initiatives and drive change management efforts, ensuring alignment with the CPeO’s vision and business priorities.
  • Assist and/or manage all logistics from end-to-end of small to large scale events planning, including team meetings, all-hands and offsites.
  • Anticipate the executive's needs in advance, proactively preparing meetings, agendas, materials, resources, or information required to support their decision-making and strategic priorities.
  • Prepare complex and highly detailed national and international travel itineraries on very short notice; including, but not limited to, the purchase of flight tickets, accommodation, ground transportation, visa requirements and applicable security measures. 
  • Ensure all logistical and administrative duties are completed in a timely manner, including expense reports, reimbursement requests, post management, IT support, and financial administration.

As well as have the following responsibilities:  

  • Build and maintain strong relationships with all team members, direct reports, internal executives and stakeholders in other divisions or departments, as well as any  relevant external clients or partners.
  • Partner with other Executive Assistants in the N26 CEO Office and key stakeholders on driving efficiency and improved processes for the Executive Leadership Team of N26, and support or step in when needed to ensure business continuity.
  • Support initiatives of the CPeO, or elsewhere in the organization, as required and act as an advocate of the CPeO.
  • Report into the N26 CEO Office and be an integral team member to all executive support staff at N26. 

What you need to be successful:

Background: 

  • Several years of relevant work experience in a dynamic, fast-paced environment, in a similar role supporting senior executives or leaders.
  • Strong curiosity and, ideally, experience in HR or People and Culture 
  • Previous experience leading an administrative office, with project management experience being a plus.
  • Fluency in business-level English and German

    ; Spanish language skills are a bonus.
  • This is a hybrid role with the expectation to be in the office at least three days a week, though this may vary from time to time based on the needs of the executive.
  • This position will be based in Barcelona. However, we are open to starting in Berlin with a potential relocation to Barcelona.

Skills: 

  • Excellent communicator, rapport and relationship builder, with exceptional emotional intelligence and the ability to maintain key relationships. 
  • Highly competent at managing workflow, priorities, diaries and schedules for multiple persons, including yourself and the executive. 
  • Level of integrity that is beyond reproach and be able to maintain confidences and corporate confidentiality without question, as well as professionalism with senior leaders.
  • Must be good at assessing and analyzing vast quantities of data, information and communications and assessing the relevance of these and their level of priority at all times. 
  • Social media management skills to assist with public-facing communication and online presence management if needed.
  • Adept at quickly learning and understanding the roles and responsibilities of the CPeO and his team and others within the organization who support the N26 Executive Leadership Team. 
  • Possess advanced office software skills; strong written communication skills, including the drafting and editing of high-level documents; advanced presentation preparation and design skills; a strong financial numeracy and corporate finance understanding is a plus.
  • Rational thinker with problem-solving capabilities and the ability to complete complex tasks and projects quickly with little to no guidance.
  • Adept at dealing with a variety of complex stakeholders and difficult situations and at managing and overcoming conflict. 
  • You react with appropriate urgency to situations that require a quick turnaround and take effective action to continually improve the status quo.
