The Role
As the face of our Madrid office, you are the heartbeat of our daily operations. You will balance technical efficiency via Jira with high-touch interpersonal interactions, ensuring our physical space remains a world-class environment that enables productivity, collaboration, and employee wellbeing.
The Role
In this role, you will:
Workplace Operations and Facilities Management
- Daily Operations: Oversee all office facilities to ensure a safe, efficient, and inspiring work environment.
- Ticketing and Admin: Manage the Workplace Jira Service Desk, categorizing and resolving employee tickets with timely updates.
- Vendor Management: Supervise external service providers (cleaning, maintenance, security, catering) ensuring quality and cost-effectiveness.
- Logistics: Handle incoming/outgoing mail and courier shipments including tracking labeling and dispatching.
- Procurement: Manage office budgets, local contracts and the processing of all Madrid office invoices.
- Order office supplies: Regular ordering of office snacks, drinks, stationary supplies.
Employee Experience and Office Culture
- Visitor Management: Provide a premium experience by greeting guests, managing sign-ins and issuing visitor passes.
- Culture ambassador: Help to plan and execute internal events and internal engagement activities that foster a sense of belonging.
- Feedback: Actively listen to employee queries and gather feedback to drive continuous workplace improvements.
Space Planning and Sustainability
- Strategic Growth: Lead space optimization projects, moves and relocations to align with hybrid work policies.
- Sustainability: Implement environmental best practices, including waste reduction and energy efficiency.
- Tech Collaboration: Partner with IT to ensure workspaces support seamless hybrid collaboration.
Health, Safety and Compliance
- Regulatory Compliance: Ensure all operations meet local health, safety, and building regulations.
- Safety Lead: Act as the primary contact for audits, emergency procedures, and risk

Background:
- Education: Degree in Hospitality, Business Administration, or a related field preferred.
- Experience: 2+ years of experience in Office Management, Front Desk, or Hospitality at a fast-paced startup or international corporate environment.
Skills:
- Tech-Savvy: Proficiency with Jira (or similar ticketing systems) and G-Suite (Docs, Sheets, G-Chat).
- Communication: Fluent in both Spanish and English with a knack for clear, friendly professional correspondence.
- Organization: Exceptional multitasking skills, you can manage a courier delivery while assisting a visitor without breaking a beat.
- Proactivity: A "no task too small" attitude and the ability to spot problems before they arise.
