Executive Assistant to Co-CEO & COO

Objectives

The Executive Assistant plays a key role in optimizing the Co-CEO’s productivity by enabling the executive to maintain optimal energy, focus, mindset, and priorities in a way that facilitates the executive being their most productive and effective. Working in partnership with the executive, and working proactively and unilaterally within a framework established together with the N26 CEO Office, the Executive Assistant is also responsible for helping to manage executive energy, focus, mindset, priorities and relationships, and for helping to facilitate the best outcomes for the executive and their team of direct reports. 

In this role, you will:

Have the following key responsibilities: 
  • Manage and oversee the Co-CEO’s office and support all business activities at N26, with a focus on the Operations function. 
  • Proactively manage communications, acting as a gatekeeper to prioritize requests, filter unnecessary information, and prevent day-to-day interruptions, so the Co-CEO can focus on high-value tasks. 
  • Prioritize tasks and manage the flow of information to and from the Co-CEO, ensuring that all communications align with business priorities and facilitating access only to relevant and important matters. 
  • Build and maintain strong relationships with all team members, direct reports, internal executives in other divisions or departments, and relevant internal or external stakeholders and shareholders, ensuring smooth and effective collaboration.
  • Be responsible for helping manage the  Executive’s energy and focus by assessing and managing their competing time, priorities, and attention in line with strategic objectives.
  • Provide necessary business intelligence and data, including feedback on the team’s and organization’s sentiment and morale.
  • Contribute to strategic planning initiatives and drive change management efforts to ensure alignment with the Co-CEO’s vision and business priorities. 
  • Manage and oversee key projects from start to finish, including developing project plans, tracking milestones, and providing regular updates on progress and deadlines.
  • Build strong external networks to support the Co-CEO’s objectives and business relationships, acting as a liaison with external partners when needed.
  • Conduct research for the Co-CEO and team initiatives or projects as directed or proactively, based on an understanding of known and understood project or task objectives.
Additional Duties and Responsibilities: 
  • Prepare meetings, agendas, and resources proactively to support the Co-CEO’s decision-making and strategic objectives.
  • Manage the meetings, tasks schedules and diary of the Founder and Co-CEO, including arranging meetings in line with identified and understood priorities
  • While looking out for clarity, relevance, and purpose, review all communications and submissions to the executive, handling or prioritizing them in line with identified and understood priorities and areas of responsibility within the team and organization.
  • Draft communications, documents, or presentations as directed by the Co-CEO, or proactively ensuring consistency with the executive’s style and business objectives.  
  • Participate in and contribute to team meetings, taking notes or minutes as required and facilitating any follow-up action items.
  • Manage complex calendar and travel arrangements in line with the Co-CEO’s priorities and objectives. And further ensure that all logistical and administrative duties are completed on time, including financial administration, IT Support and post management. 
  • Report into the N26 CEO Office and become an integral team member of the executive support staff at N26. Partner with other Executive Assistants in the N26 CEO Office and key stakeholders on driving efficiency and improved processes for the Executive Leadership Team of N26.

What you need to be successful:

Background: 
  • 3-5 years of relevant work experience in a dynamic, fast-paced environment supporting senior executives or leaders.
  • Project management experience and an understanding of operational workflows would be highly beneficial.
  • Fluent/native in business-level English; intermediate in German would be a plus.
Skills: 
  • Strong emotional intelligence and interpersonal skills, with the ability to maintain key relationships and manage conflict effectively. 
  • Excellent networking skills, with the ability to build and maintain relationships internally and externally to support the executive.
  • Highly competent at managing workflow, priorities, diaries and schedules for multiple persons, including yourself and the executive.
  • Level of integrity that is beyond reproach and be able to keep confidences and corporate confidentiality without question, as well as professionalism with senior leaders.
  • Proven ability to manage large volumes of data and communications, with strong analytical skills to assess relevance and urgency. 
  • Strong business acumen and business management knowledge and the ability to quickly learn and understand the nuances of different departments and divisions. 
  • Adept at quickly learning and understanding the roles and responsibilities of the Co-CEO and their team and others within the organization who support the N26 Executive Leadership Team. 
  • Possess advanced office software skills; strong written communication skills, including the drafting and editing of high-level documents; advanced presentation preparation and design skills; a strong financial numeracy and corporate finance understanding is a plus
  • Must be someone others believe is genuinely working in the best interests of the Co-CEO, his team, and the organization 
  • Rational and strategic thinker with problem-solving capabilities and the ability to complete complex tasks and projects quickly with little to no guidance
  • You react with appropriate urgency to situations that require a quick turnaround and take effective action to continually improve the status quo.
