About the opportunity

We have an exciting opportunity to join the N26 CEO Office as Executive Assistant to our Chief Executive Officer (CEO). At N26, our team of Executive Assistants provide high-level management support, clerical and business assistance, plus direction and guidance to support in the achievement of strategic priorities and business goals and objectives. This opportunity will allow you to see what the daily life of a C-Level executive is like, how N26 is managed, and how our Executive Leadership Team (ELT) works together.  
Objectives: 
The Executive Assistant is responsible for providing sophisticated administrative and operational support while contributing to projects that help drive business priorities and strengthen team collaboration in a way that facilitates the executive and teams being their most productive and effective.
Taking direction from the Senior Manager of the N26 CEO Office, the Executive Assistant is ultimately responsible for ensuring seamless back office and logistical support for the Chief Executive Officer of N26.

In this role, you will:

  • Assist in managing competing executive time, focus, and priorities in line with strategic objectives and short-term goals and objectives, assessing any shift in priorities as appropriate through the following:
      • Manage complex calendars, across multiple time zones including vetting, prioritising, and providing recommendations on meeting cadence, time spent, and optimising scheduling on an ongoing basis.
      • Act as a gatekeeper for the CEO, by reviewing incoming requests and assessing the purpose, objective, and desired outcomes of requests. With guidance from the Senior Manager, CEO Office, you will review communications to the CEO and handle, reassign or prioritize these for the executive in line with identified and understood priorities and areas of responsibility with the team and business. 
      • Assess and manage the flow of information, communications, and access to the CEO, with guidance from the Senior Manager, CEO Office. 
      • Use your judgment to prevent unnecessary involvement of the CEO in day-to-day office management issues, team issues and daily interruptions. The Executive Assistant will manage enquiries unilaterally where possible, or bring them to the attention of the Senior Manager, CEO Office, where necessary.
  • Draft communications, documents, and presentations, with instruction from the Senior Manager, CEO Office. 
  • Manage and oversee projects as directed, including the development of plans for such projects. This includes following up and providing reminders on project deadlines, action items, and deliverables.
  • Assist and/or manage all logistics from end-to-end of small to large scale events planning, including team meetings, all-hands and offsites.
  • Prepare complex and highly detailed national and international travel itineraries at a very short notice; including, but not limited to, purchase of flight tickets, accommodation, ground transportation, visa requirements and applicable security measures. 
  • Ensure all logistical and administrative duties are completed in a timely manner, including expense reports, reimbursement requests, post management, IT support, and financial administration.

As well as have the following responsibilities:  

  • Support in managing the CEO’s office in Vienna and support all relevant business activities at N26. 
  • Build and maintain strong relationships with all team members, direct reports, internal executives and stakeholders in other divisions or departments, as well as any  relevant external clients or partners.
  • Partner with other Executive Assistants in the N26 CEO Office and key stakeholders on driving efficiency and improved processes for the Executive Leadership Team of N26, and support or step-in when needed to ensure business continuity.
  • Support initiatives of the CEO, or elsewhere in the organization, as required and act as an advocate of the CEO.
  • Report into the N26 CEO Office and be an integral team member to all executive support staff at N26. 

What you need to be successful:

Background: 

  • At least five years of relevant work experience as an Executive Assistant supporting senior executives or leaders in dynamic and fast-paced environments.
  • Previous experience leading an administrative office with project management experience would be beneficial. 
  • Fluent in business-level English and German is a requirement.
  • This is a hybrid role with the expectation to be in the office at least four days a week. However, remote work days will need to be taken in alignment with the Senior Manager, CEO Office. 

Skills: 

  • Excellent communicator, rapport and relationship builder, with very high emotional intelligence and the ability to maintain key relationships. 
  • Highly competent at managing workflow, priorities, diaries and schedules for multiple persons, including yourself and the executive. 
  • Level of integrity that is beyond reproach and be able to keep confidences and corporate confidentiality without question, as well as professionalism with senior leaders.
  • Must be good at assessing and analyzing vast quantities of data, information and communications and assessing the relevance of these and their level of priority at all times. 
  • Adept at quickly learning and understanding the roles and responsibilities of the CEO and his team and others within the organization who support the N26 Executive Leadership Team. 
  • Possess advanced office software skills; strong written communication skills, including the drafting and editing of high-level documents; advanced presentation preparation and design skills; a strong financial numeracy and corporate finance understanding is a plus.
  • Must be someone others believe is genuinely working in the best interests of the CEO, his team, and the organization. 
  • Rational thinker with problem-solving capabilities and the ability to complete complex tasks and projects quickly with little to no guidance.
  • Adept at dealing with a variety of complex stakeholders and difficult situations and at managing and overcoming conflict. 
  • You react with appropriate urgency to situations that require a quick turnaround and take effective action to continually improve the status quo.
